Minutes of  December 22, 2025

Co-Presidents’ Report: Jim G.  No new updates, Christmas preparations are underway; dinner, decorations, luminaries and our final meeting of the year.  Changes and new opportunities have been emailed regarding golf and areas to meet.

Secretary’s Report: Debbie Freeman’s said the minutes of the last meeting were previously emailed and copies passed out at the last meeting.  Are there any additions or corrections, if not the Minutes will stand as posted.  The minutes will stand as reported. A motion was made, voted on and the “ayes” accepted.

New reports:  Open House is well under way-we have 52 groups signed up, and there are still a few more expected.  We are adding a table for Chuck Meidema as Project Paradise Bay Hall, 2026 “What’s going on, what can be done, volunteers needed” We will also have a section for resources started (2) builders; Palm Harbor and Jacobsen, anyone interested or needing information.  With this number of clubs showing up, everyone will be sharing tables.  I am attempting to group everyone in categories that are similar.  Especially if there are same clubs in PB as in SB.  Donna Matteson and I have all the tables labeled and numbered, we will be sending out an email with the information ahead of time to help you with set up.  There will be a packet prepared for all guests (especially new residents) with information pertaining to all the activities, clubs etc. going on in both parks. .. A suggestion was made by Jim G. that perhaps we could add insurance resources/contacts as well.  Jim has one, Sue C, Anita C. too.  We decided to be careful how far we go with this, and Ricky suggested we have fliers with a list of recommendations from residents that have worked. Kathy O. thought information like the above would be a useful topic to share at the Shareholder’s meeting too.

Another inquiry was made by Ricky Baer regarding the Paradise Bay building and what is going on, regarding Manatee County. Manatee county as usual, are either evasive with answers or constantly redirecting anyone inquiring down useless paths. Rhonda Bowling was able to help us out a lot with information.  Positive moves forward are happening; permits have been approved for building work in the park. (I believe the Kitchen was one area I heard in the many voices speaking) I believe this is at the SB hall.  Contractors (Electricians, Plumbers etc.) are now being contacted and asked to place bids.  We are now waiting on their responses.

Next topic: I brought up the use of the stage in the SB hall for dancers performing.  That we have had two practices for the Virginia Reelers and it was awkward, and if not careful your feet stick and struggle with movement.  It wasn’t a good decision having carpet on a performing stage. I also see this could be an issue for groups like the Line Dancers, possibly the Travelaires and their acts, the Talent Show. To name a few.

Additional Topic: “Welcome Wagon New Residents” (we nicknamed it, unless someone wants to properly name it) This group will now be active this year, and Peggy Baer, Donna Matteson and Rita Foley have volunteered to get it up and running.  But, will appreciate others willing to assist.  It involves keeping up with acknowledging new residents moving into the park, and welcoming them etc.  At the Open House we will have a table to start it going…

Craft Shows: Dee Majewski mentioned invites are out for the February 7, 2026 Craft Fair.  She also, said her expectations are that we will have a large response, and may have to turn some away.  No outside tents etc. will be used, due to time of year and unpredictable weather issues.

Library: Sue Cassidy asked how many have checked out the Helm house library.  Response was awesome, it is well appreciated, even “envied” as Kathy says.

Luminaries: Anita Cook They are(were) all set and ready for Christmas eve.  Lights, milk containers and bags.  Carl Kerr even had to order more this year, because of the response.  Volunteers are ready, and set ups are planned!  Joe Rush will be handling the drones and we will have a picturesque memory made of 2025 too!

2026 Idea!  Ricky Baer mentioned seeing the bicycles decorated and parading through the streets one evening.  It happened to be Forest and Debbie McPherson’s family.  Thought it was a beautiful display.  Well, it has inspired Ricky and now the PBAC and SBAC to do something next Christmas season.  It has been decided we will have a Golf Cart (bicycles?) Christmas Parade and Caroling the week before Christmas.  (Before a lot of residents leave for the holiday) and meet up afterwards at the SB hall for cookies and refreshments.  We may even plan to have a Santa lead the parade?  And who knows what else.  Everyone got involved in this discussion, Sarah, Rhonda, Kathy, Jim, Dee and more. something we are all excited about! This committee is now officially created and will be led by Ricky Baer as the lead organizer.  More to be discussed in the future.

 Meeting was called to Order at 10:00 a.m.

Co-Presidents’ Report: Jim Gath Could do with a few more golfers on Tuesday showing up, it could of course be because not everyone is here or coming back? But as Jim says “you only need 8” to get a round going for the league.   We discussed how much it costs “walking, a round of 9 holes and Pinewood’s club membership $200 package.   But, Jim also, he will consider looking at a couple other clubs this upcoming year and see what they have to offer Paradise Bay as a league, and see if it is time for a change.  Some of us said we would join if it weren’t so expensive, even if it meant travelling a little further.

Jim discussed Music by the Bay, December 18th, Scotty Yates at 4 pm for our Christmas music by the bay.!!  There was one formal complaint in letter form to the office regarding 4 pm and music.  The Board has decided that one person does not dictate the policy for 620 people.  Music By the Bay stays!

Carl Kerr No hot dogs on the 3rd Monday of December due to there not being enough people in the park yet.  Tom Billings is possibly questioning whether we will have Hot Dog Monday on January 5th too.  But that has not changed as of this time.

Upcoming Dances!  Ron Prieskorn’s DJ event, Friday December 12, 2025 first dance of the season in the hall. Also, Ron said money collected from tickets sold, is to be donated to the Paradise Bay Activities for future activities.  Thank you very much, Ron Prieskorn from the Paradise Bay Activities Committee and Sara Bay Activities for your music and contribution.  Next, will be the New Year’s Eve dance in Sara Bay Hall!  See Gloria and Al Young for tickets, hurry. This is a great night too!!

Secretary’s Report: Debbie Freeman’s report:  error was caught in time in my report and updated (Reelers) regarding an upcoming schedule event myself. Cathy M. and I discussed the “new residents and the Welcome gifts” and how to get that going.  Looking for a team of volunteers to handle “welcoming our new residents” in the park.  If interested, please contact Donna Matteson, Peggy Baer first; or attend the Open House January 16, 2026 Sarabay Hall and see me to discuss the plans for that day. We will have a “Welcome New Residents table” set up.

A sign-up sheet for all clubs, organizations or groups in Paradise Bay and Sara Bay wanting a table at the Paradise Bay and Sara Bay Open House was available at the meeting today.  I will be contacting all of you, plus Jim’s email blast! Funding, coffee and refreshments were discussed and handled.  We will have all tables attending bring a “treat to share” for the Open House.

Treasurer’s report: Carl spoke for Al, as he is not present today.  There are no new changes reported yet as of last month.  We did have donations from the Thanksgiving dinner and Ladies Friendship Craft Show, but they will be reported by each.

Vice President report: Lee Stephens -Construction - Electrical is working on being scheduled for the Helm house. They will be getting under the house and working on the electrical thoroughly, and the same is ongoing with the Sara Bay Hall. Ricky Baer brought up information that some permits for Sara Bay Hall were being issued today.  Bathrooms in the SB hall are an ongoing project that is being taken care of, had planned on it being a 2-day job, but it’s turning into weeks’ worth of work. The digging and more that has to be done.

Regarding Laptop:  Laptop has been released and returned and refund received.  But the price has gone up $200 on the one needed.  Lee is holding off watching prices of laptops and sales.

Tickets-Christmas Dinner-Hosting: Discussion was brought up by Lee S. on which group was hosting the Christmas dinner, added to that whether a sign-up sheet for the dinner could be made available in the Park office as well for the whole park residents interested in tickets for the dinner.  But there are only 150 ticket reservations being allowed for Christmas Dinner in the park.  (So, order your tickets ASAP!)  A suggestion was made and an inquiry was brought up by Tom Billings of why charge $7.00, when the Park and the PBAC would pay for or donate to the holiday dinner and the monies would be given to Sara Bay since they are hosting it.  At the time of this meeting, Kathy O, and Sarah K. said they would let the committee know, once they discussed it with Vi Bonnema. Further discussions from Ricky, Chris, and the Board were made on the concern of how the residents and guests in the past have attended free holiday dinners and why this year there was a $7.00 cost. Chris explained how it worked at Thanksgiving, with the cost of everything being over $700 higher than expected.  And just by asking for donations on Thanksgiving Day, they ended up collecting $500.  People will give if asked, Chris was trying to explain how asking for donations would possibly be a better way to do the dinner funding. We all know it isn’t a significant amount; it’s just each park’s version of their tradition or what could be best at this time for everyone; again, since there is one hall that we all share, and ideas need to be shared too.

Christmas a time of joy, happiness, love, sharing and peace..we have been through a lot since last year, let us not forget that!

Old Business:  Carl K.  Bayfest March 7, 2026 Bayfest Theme:  Favorite Movie If any volunteers not able to volunteer this year for Bayfest events, please let us know as soon as possible.  We will need to get on the ball and solicit new volunteers.   There are a lot of new residents in the park too, that we would like to get them involved, so please share these opportunities with them.

Chris Matteson: Boat & Fishing Club:  

Covering for Ron P. at their last Fishing & Boat Club meeting a decision was made regarding the Beans and Franks dinner; menu has changed!  It will be Taco’s, more info to come, specifics have to be finely “scrunched” but it is still January 24, 2026.

Committee Reports:

Bayfest Talent Show:  Debbie Freeman:  March 6, 2026~ Friday evening, 6:30 pm-Sara Bay Hall; A Talent Show sign-up application is available as of December 1, 2025.  The Talent Show information available in park office/SB hall and with activities meetings, etc. Or contact me. Craft Shows: Dee Majewski discussed the overall turnout of the craft show and bazaar and the comparison of other bazaars.  Paradise Bays Ladies Friendship Club had a great turnout and made it out fairly well.  But, as far as vendors, Dee said she had only vendor make a complaint.  The rest she had spoken with, told her the average cost they pay elsewhere is $40-$45 for an 8-foot table, whereas, here they pay either $15-$20 for a table.   Dee also informed the committee that she had $355 in monies to turn in reimbursements to the PBAC.  Next craft fair, confirmed with Lee S. is February 7, 2026

Basket raffle:  At this time, Donna M. also let us know that all winning baskets were collected from the Craft show, except one!  Still waiting on an orange ticket holder to respond.

Irish Folk Dance:  Debbie Freeman (Me again) Starts January 9, 2026, Friday’s 10 a.m.-11:30. The Reelers will start Friday, December 12, at 11 a.m. and overlap with the Irish Country Dance in January to continue practices. All at the SB Hall.

Ladies Friendship Club:   Peggy Baer speaking for -LFC meets every month, 2nd Wednesday, next meeting December 10th from 1-3 pm. $5.00 membership and a luncheon.

PB/SB Open House Debbie Freeman  January 16, 2026, Friday 1-3 pm, Sara Bay Hall. I will be contacting all the clubs, groups to see who will be needing a table at the 2026 Open House, the first week of December. Also, please send me any information regarding your club, contact, time and place so that I can include that in the Welcome packet.

Sara Bay Activities: Sarah Kohler let us know all are welcome to attend the upcoming Sarabay activities meeting December 15th, at 3:30 pm. in the SB hall.

Co-Presidents’ Report: Jim Gath Park activities are picking up around the park.  The calendar is kept up to date online and in paper, and people are showing up!  Carl and Jim and working to make sure all the park activities are happening!  Could do with a few more golfers on Tuesday showing up, Al J. had to play a couple times on his own ☹

Carl Kerr  hot dog’s 1st and 3rd Mondays!  Tom B.  and Carl are thinking about adding/switching hamburgers and brats one Monday a month, maybe?  A new grill has been purchased; receipts still need to be submitted to Park office for reimbursement. Sue C. is donating an extra propane tank? (think it’s propane. said “tank’) opened with welcoming our new Treasurer to the Paradise Bay Activities

(Carl & Jim) not sure if there will be Music by the Bay in December.  Mary Fox made a suggestion that she has a friend that would like to join and play.  He needs to contact Jim. But any person playing or wanting to play here; usually needs to have their own group established and scheduled to play.

April’s Resignation-Park Manager:  the Board is handling that, April has agreed to stay until the a new park manager is trained.

Secretary’s Report: Debbie Freeman’s said copies of the last minutes are available today and in the park office and have been emailed out to everyone. Updates I have received: Debbie Greeves mentioned correct recognition should be given to Nancy Contri for handling the upcoming Terry Lee Ridley concert.

Susan Miller sent me a reminder:  Blood Drive – December 6, 2025, 9 am – 2 pm; bus will be parked by the Paradise Bay Rec. Hall. Virginia Reelers now have a scheduled practice time:  December 12th and 19th, at 11 a.m. SaraBay hall, and continue January, starting the 9th with the Irish Folk dance at 10 a.m. Anita Cook noted the need for the correction on Jean and Tom Colson’s last name (thank you)

Treasurer’s report: Al Jauquet – Explained there isn’t much to report this month since our last meeting, the treasury report shows as of April 17th, 2025 a balance of $9012.43. Since then, we have had:

  • July 4th celebration/ A couple Music By the Bay- Costs: $500 each.
  • Laptop – Lee Stephens Vice President (Calendar work Park) $481.00
  • Pickle Ball Court shared expense - $391.00
  • We have actually spent since our last report $2376.87 and took in $119.00. Our present balance being $6754.56
  • Cash reserve not in bank: $80.00
  • Pledge: Anita Cook - $1000 – (Historical, pictures etc.) work
  • Questions brought up by Sue Cassidy making sure Stan Hellenbrand is paid for work regarding library. This should be handled by the park office. Sue Cassidy has receipts that needs to be reimbursed by PBAC.
  • Realistically taking the account into balance, it would be: $5815.88 today.

A motion to accept the Treasurer’s report was made.   Motion was made by Chris Matteson and second by Peggy Baer. All in favor, “ayes” accepted. This report will stand as read and posted.

Vice President report: Lee Stephens said as the park fills up for the season, it gets busier and Lee will try to add the additional activities. Be patient, she will see to it, best way to leave her messages or information is through her email.  The groups that are up and running are merging and some groupings are “playing” well together.  For example:  Ukelele entertainment while you play cards!

Construction Issues and Manatee County: has been delayed three weeks, in the middle of all the permit processing, the Building Dept. decided to move their headquarters to Lakewood Ranch.  Due to their moving and set up, our permits are pushed back more!  But, as a reminder, when construction is scheduled in a particular area, there will be no activity allowed at the same time during construction.  Lee commented that she foresees this year as a tougher year than last year in a different way; only because of the construction process, but it is a necessary evil and we need it. Activities, events may be moved, rescheduled or cancelled. 

Bathrooms: For major events these bathrooms will be available and other options are being looked into for this upcoming season:  Sara Bay Hall has working bathroom in the hall-billiards room and the Sara Bay Bath houses (during major events)  Paradise Bay:  drawings, engineering and permitting are an  ongoing process, but priority is one major building at a time.  Just getting the Manatee County to approve stuff is the issue. We need to be careful, what is left opened regarding bathhouses, bathrooms etc. because we do not want outsiders coming in using the restrooms etc.  Discussion of “FOBS” system were brought up regarding bathrooms, by Sarah Kohler.  At this time Kelli and a board member are looking into that option too.  Another idea is the 3-bathroom air-conditioned trailer that can be rented for a price of $3500 a month, again this will be discussed with the Board.

Regarding Laptop:  at this time there is some confusion on the laptop, it had to be returned, and another ordered. Due to delivery and where it returned to there is a credit, payment, delay processing issue that will gradually resolve itself.  Lee just wanted us to know that.

Positive thinking ~ soon we will have a beautiful updated park!! Keep looking forward people!

George M.  is handling the Games, and we have a plan on set-up in the Pickle Ball surrounding area that will work this year, rather than within the courts.   Food this year for the Bayfest? Any suggestion?

Bayfest Talent Show Re-Schedule: We have scheduled the talent show for a Friday evening, March 6, 2026-6:30 pm and rehearsal Wednesday, March  4th, - 4 pm at the Sara Bay Hall.  Decision to have it separated from the Saturday festival would make it easier on all those torn between games, eating and volunteering.  Now anyone can participate Friday evening!  Now, we will have a Bayfest weekend.

Get your performance piece ready, Talent Show forms are going out first week of December.

New Business:  Thanksgiving Dinner – Kim Hopkins and her sisters are volunteering to handle the cooking and preparations of the holiday dinner for the park. Kim and John Hopkins are present to update on the Thanksgiving dinner.  Expected count, Chris M.  said about 200, access for wheelchairs was also discussed.  Setup for outside seating, weather permit was discussed.  All volunteers and jobs are already organized and is a go!   Sarah K. Kelli, Sue,  have it posted on Team Reach, Monday, November 24, was clean up day at the hall, in preparation for the dinner and was hoping for a good turnout of volunteers.

Scheduled contact to reach PBAC members:   Discussion was brought up by Carl K. and I  regarding messages, emails, and phone calls through out the day and evenings.  It has been decided that it would be appreciated that if you have a request or need to discuss an activity outside our regular board meeting times; that you can contact one of us during the week between 10 am and 2 pm.  We will too, try to get back to you or handle the request as soon as possible.

“Bring Back” Hosting Holiday Dinners in Future:  Chris Matteson, John Hopkins, Carl Kerr, Jim Gath, myself, Anita Cook, Lee Stephens, Peggy Baer, George Mullen… maybe more?  It is well known that the same bigger clubs in the park manage the holiday dinners.  But it is the same ones for a long time, and Chris mentioned he would like to see it rotated and that the same group should not have to do it every year.  But the discussion came up that there are other clubs, that could do it in the upcoming year(s).  Or on a rotational schedule. John H.  mentioned it is becoming a lot of work for one club to do all this, it is a lot of work.  So, if we want to keep these wonderful gatherings going, we need more groups step up.  We are thankful for the great cooks, especially Kim Hopkins who has handled so many of our park dinners, and servers and volunteers that do all this for us right now, but they too have to be considered and deserve a break.  We are all part of Paradise Bay and Sara Bay.  So, if there are more helpers and cooks in other clubs that want to find out more about how we can work together on this idea, show up at our future meetings or send us a message.

Suggestions were offered like:  A couple smaller clubs working together to handle one of the holiday dinners. Or, a smaller club work with one of the regular clubs presently doing it, this way too, they would get the recognition of what their club did.  Or some of the other major clubs handle a park holiday dinner.  More discussions will be needed shortly on this, but we would like to hear from all the clubs and organizations in the parks.  We will also be promoting this at the Welcome Open House for discussion, to clubs and newcomers.

Committee Reports:

Art: Bunni Carroll Art classes: Tuesdays and Thursday ~ 9 am-Noon, Helm House. Bunni gave us an update on the remodeled Art room that they now have.  She also updated us on Share craft  (Gail  Crocker) First activity will be January 7th, 2026 from 10-12 pm. and Bunni believes it will be a “card making project”

Bayfest Talent Show:  Debbie Freeman  March 6, 2026~ Friday evening, 6:30 pm-Sara Bay Hall; A Talent Show sign-up application will be available December 1, 2025.  It will also be posted in the hall, and offices for anyone or groups wanting to be in the show.  So, we can have an idea of how many acts there will be, props, set up, music etc. needed and also, so I can “kind of” screen the acts for line up (?) and more;  please start getting your “stuff” together, submit your application.  The Talent Show information will be going out 1st of December, available in park office/SB hall and with activities meetings. Boat & Fishing Club:  George Mullen. Next meeting: December 2, 2025, Tuesday, 9 am, (1st Tuesday of the month) free donuts and coffee! You do not have to have a boat or be a fisherman to come to our meetings!  Lots of fun things always going on, birthday antics, jokes, story yarns, spankings, exaggerated fisherman tales?? We can connect you if interested with boating, getting out on the water and kayaking. *George asked that this information be included in the Welcome packet.  I informed him and all the clubs present that any information about their clubs that they would like included in the Welcome packet needs to be emailed to me soon, as I am now putting those packets together and will be contacting all the clubs to see who will be attending.

*Carl K. mentioned the Fishing club just bought a new ice machine, located behind the maintenance shed.  There are also bags for the ice available.

Cards & Games: Mary Fox    Euchre-Monday’s /6:30 pm/SB Mary just confirmed that Euchre will start in January, and Carl K. suggested as a backup, if the hall has construction going, please use the Helm House if it is not booked.  It has adequate room and is set up to accommodate games as well and much work has been done on this building.

Christmas Luminaires-PB: Anita Cook will need volunteers this year, Christmas Eve (Wednesday) and it might be the last year for jugs, so everyone will either need to come up with jugs or start using the paper bags, and there would be the issue of where to store the jugs.  Anita thanked the PBAC for the purchases last year of battery candles and supplies.  She is also able to keep those supplies and bags in a storage area in the office.  Carl K. let her know too, any additional supplies Luminaires needs to let PBAC know and we can order them in time.

*Last year, Peggy and Ricky Baer and Carl Sheddan and Rita Foley handle the lighting around the entrance areas.  We need volunteers to help with the whole park this year too.  *Mention of the Drone picture last year was amazing and having it again would be awesome?? *Getting info out on the Facebook,

email, news showing how wonderful the Luminaires contribution to Christmas is (or a replay of the drone view-not sure how to word this.) Get others involved!

Christmas Luminaires-SB: Sarah Kohler will continue the same starting at 5:30 pm., putting out the Luminaires out along the Sara Bay streets in the park.  Along with that at 6:30 pm. Anyone from both parks, friends and neighbors join us caroling. We can make it through three streets, that’s as far as their voices can hold up, makes sense!

Afterwards – we have a little corner where we can gather in the hall and have some Christmas cookies etc. please join us. 

Carl K. and Sarah K. information regarding the sharing of the costs of the Christmas dinner between both parks was confirmed.  Sarah understands, and assured the PBAC that Cindy had discussed it with the captains and it is agreed.

Constitution Alive: Kathy Harris Starts  Monday, January 12, 2026, 6 weeks, Helm House, 6:30-8 pm ~ the Constitution Video Series... 2nd Topic:  Celebrating America’s 250th Birthday Program ~ Focus will be the history as Americans; dances, songs, narrations on a timeline from the beginning of our history of America. January 31, 2026, 6:30 pm ~ Sara Bay Hall and free.  Also the Constitution Alive class has been said to be well worth attending, so much to learn, very knowledgeable.

Craft Shows: Kathy Mullen  was checking to see what parts of the SB halls were available for use that day (particularly the stage).  Confirmation was given that they could use the stage too, for the Craft Show.  Just a reminder….there is no railing at the stage…

Irish Folk Dance:  Debbie Freeman  (Me again) Starts January 9, 2026, Friday’s 10 a.m.-11:30. The Reelers will start 2nd Friday in December at 11 a.m. and overlap in January to continue practices. All at the SB Hall.

Ladies Friendship Club:   Peggy Baer speaking for -LFC meets every month, 2nd Wednesday, except April. Upcoming events:  Craft Show – Dec. 6, 2025, Craft show, Luncheon – Chicken salad/pulled pork sandwiches, bake sale and Raffle; doors open from 9-2 p.m. and donuts and coffee available from 8 – 9 a.m. Dee has coordinated set up with office and maintenance, hall is closed the day before for setup.  Sue Miller will have the Blood Mobile same time as Craft Show again.

Shuffleboard Courts:  Chris Matteson Courts are ready.  Shuffleboard has started, daily 12:30, Sundays at 2 pm. And it’s “Open”  Make sure to check which court is “beaded” see sign on door. Friday “Shuffling  Under the Stars”, at 6:30 pm. if you decide to go ~bring a dish to share.

Travelog: Sarah K. will be holding their first session on December 6th at 6:30 in the SB Hall.  They will be covering the South Pacific Islands.  December 20th, they will be covering the minority Villages of Southern China. Sarah is looking for a good source of popcorn, if anyone knows?

Welcome Open House Debbie Freeman  January 16, 2026, Friday 1-3 pm, Sara Bay Hall. I will be contacting all the clubs, groups to see who will be needing a table at the 2026 Open House, the first week of December. Also, please send me any information regarding your club, contact, time and place so that I can include that in the Welcome packet. Bayfest Talent Show form for performers is available as of December 1, 2025, park office, SB hall and through myself and at activities meetings.

Other News:  Carl Kerr and Jim Gath mentioned giving Karen Rimatzki a position of “Ombudsman” not sure if that is the correct title. But one that will keep them in line regarding rules and regulations for all the clubs.  Because Karen is very wise on all that.  She also helped Lee get the Calendar program/activities prepared for this season. Thankful for all her help.

Co-Presidents’ Report: Jim Gath Welcomed everyone back. Jim asked about upcoming activities in the park. He mentioned FPL will be coming next week during coffee hour to update us on emergency information and what they are offering.
Jim discussed our last two gatherings for “Music by the Bay events" and how great it was. The variety of musicians, costumes, and selection of food! No Music by the Bay for November; Musicians not available that week, Marilyn’s place will be tented and Scotty offered Wednesday, but that is the same night as the popular Jam sessions in SB hall. Music by the Bay will resume in December.
Carl Kerr opened with welcoming our new Treasurer to the Paradise Bay Activities Committee, Al Jauquet. Next…Hot Dog Sales will start up on Monday, 17th of November same area as last season. He also, mentioned they did a trial run of hot dogs at our Halloween Music By the Bay and it went well. Even our neighbors the firemen got their share!
Secretary’s Report: Debbie Freeman’s said the minutes of the last meeting were previously emailed and copies passed out at the last meeting. Corrections were made for March, 2025’s report;
The minutes will stand as corrected and the new minutes will stand as posted.
A motion was made, voted on and the “ayes” accepted.
Treasurer’s report: Al Jauquet – Explained there isn’t much to report this month since our last meeting. The new accounts and signatures are being handled presently; there is $9012.43 in the Paradise Bay Activities Account. Discussion was covered on bank fee’s notifications and if we were not using an email statement and that will be handled. Carl K. also let Al know that his name is supposed to be added to the Entertainment Committee Account regarding banking. Discussion went on whether it should be “Rosie K. and Tom B. or Rosie K. and Carl K.” as signers. And again, this will all be part of the planning with future entertainment for Paradise Bay Hall.
This report will stand as read and posted.
Vice President report: Lee Stephens informed everyone of the new email address regarding calendar info and contact for her: This email address is being protected from spambots. You need JavaScript enabled to view it.. She will respond to this email or you can call her and if there are time slots available, she will get your activity/event on the calendar. Everything
through April is now listed, except a few changes, and add on’s like: Terry Ridley event, Shuffleboard, The Reelers, Sarah Bay’s coffee hours.

Priority! No matter what event or activity we have going in the park, if there is construction work scheduled in that specific area or building, it will over ride your club activity or event planned that day. We are making that our primary focus to restore everything as quickly and smoothly as possible. We appreciate your understanding. Please share this with all your club members, friends and others so that they are aware, if they see sudden changes or cancellations in an activity.
Lee also updated us on Kathy Spark’s group; she will continue handling the Bayfront flowers and will keep a similar schedule. Chris Matteson brought up the topic of hosting coffee hour and “who and how” you go about getting on the list. Lee explained, there is list that has been around for a long time of the clubs that take turns handling the coffee and donuts; Sue Prieskorn and others are interested to know how a club is added to the list. Lee explained that by looking online, and if a group doesn’t want to do it this year, or wants to trade etc. any club can switch out.… Carl suggested the list of PB and SB Coffee and Donut Hosts be posted at the hall.
All this was agreed upon by Jim Gath and Carl Kerr.
Reminder to clubs hosting to share coffee and donuts for office and maintenance staff as well!
Next topic: Who to order donuts from? Bradenton, Turners, Walmart, etc. Decision was made to go back to Bradenton Donuts. Peter was seriously affected by the hurricanes, we need to support our local businesses; his donuts are a little more expensive but they are good.
Volunteers: Carl K. will meet Peter to collect the donuts, and set up the coffee early
Sue C. will continue ordering the donuts for Paradise Bay Coffee Hour
Rosie K. will collect the monies for coffee and donuts at coffee hour..
Joyce & Tom F. will continue handling the 50/50 raffles at the coffee hour
Monies for the raffles will go through Al; Joyce and Tom will need $50 ($5’s and $1’s and quarters). Al asked to be given some advanced notice if there is a request for monies etc.
A second change request was made: To change the cost of coffee and donuts to $2.00. We have not had an increase in a long time; the cost of coffee and donuts has gone up too!
All in favor was called by Carl K., everyone agreed…A motion was carried out…
Old Business: Carl K. went over “Rule Changes” and updated us on one of the original rules. We have gone back to one Vice President; Lee Stephens and she will also be our Calendar person. Discussion was covered too, regarding what can be discussed during Lee’s Park Office Hours regarding “The Board etc. questions etc…” and Carl and Lee said it looks like that is going to be manageable.
New Business: Thanksgiving Dinner – Kim Hopkins and her sisters are volunteering to handle the cooking and preparations of the holiday dinner for the park. Chris Matteson said the Park always covers the “Meat” for the dinner. He also said, because we are limited on space with the smaller hall, we are asking for $500 from the Activities Committee and Club to help with the “side-dishes/vegetables etc”. It was
asked if SaraBay Activities would share half the costs, since both SB/PB attend the dinner. Cindy Bogen (SB-Co-Captain) was present and agreed upon the request. Their team will be back in town in December and can manage reimbursement then. The deadline for signup for the dinner is the week before

Thanksgiving, and depends on capacity too. Decorations were discussed for the hall for Thanksgiving, (who/what and where) and available...
Chris M. the motion for Activities to approve the cost of $500 for the Thanksgiving dinner. Joyce F. second the motion. All were in favor and the motion was carried.
Committee Reports:
Art: Bunni Carroll Art classes: Tuesdays and Thursday ~ 9 am-Noon, Helm House. Bunni gave us an update on the remodeled Art room that they now have. Much work was done to accomplish a great start up for this club; by all the hard-working volunteers. But, at this time Bunni says it is functional, but there is still work to be done in there. (Painting, flooring, base cabinet, cutting board, drying rails etc.) Bunni would like a certain table and chairs layout set up for the Helm house too… which Lee let her know to submit a drawing of what would work. Then they can move forward with a plan.
Bayfest Talent Show: Debbie Freeman March 6, 2026~ Friday evening, 6:30 pm-Sara Bay Hall; A Talent Show sign-up application will be available December 1, 2025. It will also be posted in the hall, and offices for anyone or groups wanting to be in the show. So, we can have an idea of how many acts there will be, props, set up, music etc. needed and also, so I can “kind of” screen the acts for line up (?) and more; please start getting your “stuff” together, submit your application. The Talent Show information will be going out in December, by email blast, Team Reach, coffee hour and our newsletter. Show us what you got! Our parks have talent!! Boat & Fishing Club: George Mullen One day contest on Thursday, weather permitting. January 1, 2026 starts all regular fishing contests. Next meeting: December 2, 2025, Tuesday, 9 am, (1st Tuesday of the month) free donuts and coffee! You do not have to have a boat or be a fisherman to come to our meetings! Lots of fun things always going on, birthday antics, jokes, story yarns, spankings, exaggerated fisherman tales?? We can connect you if interested with boating, getting out on the water and kayaking. Just come to the club meetings... We host a Fish Fry, Chili Cookout, Beans and Franks dinner ….

Irish Folk Dance: Debbie Freeman (Me again) Starts January 9, 2026, Friday’s, 10 am-11:30 ish. Combination of what some know as square dance, country dance, ceili dance and simple Irish dance steps.

Learn enough, laugh a lot, maybe even show your stuff at the Talent Show, or the St. Patrick’s dinner event??? A group is already organized that I will be teaching them their first steps for the Virginia Reel
for another club event, so hopefully I can merge both.

Library: Susan Cassidy the library as you can see is finished. The 4 chairs were discussed, could they be removed? Several members, reasoned why it was good to keep the chairs at the Helm house. It was decided they may be a comfortable use for some of the other clubs. Decision to keep the chairs was settled. Susan would love to see donations of audio books, limited on them at the moment. Carl asked if Susan needed donations for the library, at this time they are good. She let us know Diane Gill, Mary Hellenbrand and herself are the team handling the library. The library is coming along nicely; duplicates will be sent elsewhere.
Name Badges: If anyone needs their name badge, please see Sue for the form to fill out, also available in both offices, and she will process the order as it accumulates.
Newsletter; Veronica McManus Thanked everyone for the well wishes, and the good reviews regarding the Newsletters. Following up with that, she reminded everyone of how to reach her with their events, notifications etc. The usual deadline date for submittals will be around the 20th of the month. Look for reminders in your emails, email blasts and/or Team Reach for Newsletter deadline changes. Veronica explained to us the life-threatening, experience the lightening was and all the injuries she has had to go through and she is still slowly recovering.
Pickleball: Sue Prieskorn November 1, 2025 was Pickle Ball’s start up and already we have 30 members signed up! Club play in the mornings, courts can be reserved 11:30 – 5:30 pm, then there is Open evening play. Sue mentioned to everyone, that if you see new people interested, to have them stop by any mornings. Sue is usually present then, since it is the busiest time for the courts. We have brand new nets and the wind screens have been ordered. The agreed shared payment plan was discussed; of Paradise Bay, Sara Bay and the Pickle Ball Club splitting the costs three ways. That still stands and will be paid and finalized. Sue P. submitted the receipt, Paradise Bay Activities Committee’s needs to make a check out to the Paradise Bay Pickleball Club for $391.62.
Shuffleboard Courts: Chris Matteson Courts are ready. No official start data. Come over, open all the time! Friday will be their try out “Playing Under the Stars”, if you decide to go ~bring a dish to share.
St. Patrick’s Day Program: Debbie Freeman This one is in the makings! March 17, 2026 Sara Bay Hall, 4 p.m. - ? Looking to have somewhat traditional Irish dishes, and entertainment. Need to work with activities on plans and help. More information coming,
Water Aerobics: Jean Olson with Tom Olson, Joyce and Tom Farrington as backup is announcing the 9 am class at this time. No class if the temperature is below 65 degrees. Jean discussed how the pool and aerobics works, setup and music; the situation with her health and they are moving, which changes the

long-time dedication and commitment Jean has made to keeping this great program going. A committed, possibly year-round volunteer resident will be needed to take over the Water Aerobics Program. For Jean this, the speech was quite emotional and she will be sorely missed
Waterfront Services: Dan Smith brought up the electrical storm we had here in August that blew out some to the transformers; and how it seriously effected one of our residents and member (which happened to be Veronica McManus, our Newsletter reporter) A lightning bolt that could have ended her life, and that she had ended up in the hospital because of it. Prayers were offered up, thankful that she was safe and those around us that work and live here too are all safe.
Dan said their Waterfront worship has over 100-200 people at times; and they are in their 6th year here. Dan would now like to move the Waterfront Service back to it’s original setting, being the areas are clear of debris! And of course, the hall is reserved every Sunday as well as needed. His services will start up January 4, 2026.
Welcome Open House Debbie Freeman January 16, 2026, Friday 1-3 pm, Sara Bay Hall. Great way to communicate info regarding clubs and organizations within Paradise Bay Estates and Sara Bay RV Park. Meet the representatives, get everyone involved in activities, sign up for clubs etc. Please help our new residents and visitors, make sure they come, make them feel welcome! I will be contacting all the clubs, groups to see who will be needing a table at the 2026 Open House, in the meantime, please feel free to send me an email if you have any questions or just want to sign up.
Wood Shop: Meeting Monday, November 10, 2025 ~ 1 pm Sara Bay hall. There was some confusion whether there was a meeting or if it was cancelled. Meeting confirmed for today.
Other News: Carl Kerr mentioned the lawsuit regarding the boat docks, 6th street “friend” has been settled. They will be replacing the dock, also widening the ramp and Billy will have the right to use the Boat dock for loading and unloading his boat. “Trial and Error situation” Jim Gath mentioned that once this is finished everyone will be able to use this ramp.
Paradise Bay Website Photo Collection: Debbie Freeman We are thinking of all the events and good times we have had together, and especially some of our Bayfest events (Golf Cart Rodeo, Parade etc) those pictures should be included on our website. There is an area on there, where pictures were collected over the years. Lee, and several members thought it was a good idea, further discussion on this topic is needed. But, please keep your most interesting pics, in case we figure out how we are going to do this!
The Bayfest festival will be discussed at our next meeting. The theme as a reminder is “Favorite Movie”
Some discussion was started on setup of Bayfest games and props etc. near Pickle Ball area for next year.

Paradise Bay Activities Committee

RULES-2025

The Activities Committee shall promote a sense of vitality and organize fun and interesting events by planning, supporting and overseeing various Paradise Bay Community Activities. Any owner or renter of Paradise Bay and Sarasota Bay interested in the functions of the Activities Committee is welcomed to attend meetings.

A. Members:

Members of the Activities Committee consist of Shareholders, Owners or Renters in Paradise Bay and Sarasota Bay. B. Executive Board:

  1. Shall consist of four (4) officer positions: President(s), Vice President, Secretary, and Treasurer.
  2. Officers must be Shareholders of Paradise Bay Estates.
  3. Officers will be elected by the Activities Committee Members to serve a term of two (2) years.
  4. Officers may serve consecutive terms.
  5. Vacancies: The office of President(s) shall be filled by the Vice President for the remainder of the term filled unless another person is appointed by the President(s) and a majority vote of those in attendance. Other vacancies will be filled by a person appointed by the President(s) and a majority vote of those in attendance. All appointees will have agreed to serve.
  6. Shall oversee all activities, clubs and organizations in Paradise Bay Estates.
  7. Duties of the Executive Board:
    1. President(s):
      • This office will be held by one member or two members working together as Co-Presidents.
      • The position of President or Co-President will count as one vote only.
      • Shall preside over all regular meetings.
      • Shall provide an agenda for all meetings.
      • Shall preside over the Coffee Hours or appoint an individual.
    2. Vice President:
      • May assist with providing an agenda for all regular meetings.
      • Shall preside over all meetings in the absence of the President or Co-Presidents.
      • Shall be responsible for the calendar and its schedule.
      • The calendar shall remain on Paradise Bay property and be accessible to the officers.
    3. Treasurer:
      • Shall be responsible for all monies, deposits, disbursements, and financial reports concurrent with the Paradise Bay Office.
      • In the absence of the Treasurer, the Treasurer shall appoint someone to assume these responsibilities.
      • The financial reports shall remain on Paradise Bay property at all times and be accessible to other officers
    4. Secretary:
      • Shall record all business conducted at the Activities Committee meetings.
      • Is responsible for making changes and corrections after the minutes have been read or posted.
      • Shall be responsible for posting the corrected minutes after corrections are made and will maintain them in a file.
      • In the absence of the Secretary, the Board Assistant may assume these responsibilities.
    5. Board Assistant:
      • Shall be appointed by the Executive Board.
      • Shall assist with the duties of the Executive Board as deemed necessary.
    6. Meetings:
      1. Shall be held on the second and fourth Monday of the month at 10:00 AM, starting the second Monday in November and continuing through March. If there are five Mondays in a month, there will not be a meeting on the fifth Monday.
      2. The President or Co-Presidents may call a special meeting at any time.
      3. Shall be conducted adhering to a modified version of Roberts Rules of Order.
      4. A prepared agenda should consist of the following:
        • Call to order
        • Approval/Additions or Corrections of read/posted minutes of previous meeting
        • Secretary's Report/Treasurer’s report
        • President or Co-President’s Report/Vice President's Report
        • Old business/New business
      5. Activity Reports/Updates  Motion to Adjourn
    7. Use of Funds:
      1. Park activities are conducted by volunteers and shall not be paid for their service.
      2. The Executive Board may approve expenses up to and including $500 without prior approval of the Activities Committee members.
      3. All expenditures in excess of $500 must be voted upon by the Activities Committee Members at a regular meeting and receive a majority vote before being approved.
      4. All Executive Board officers will be authorized signers on the bank account.
      5. With prior approval of the Executive Board, a written authorization by two Executive Board officers will be required for closing the bank account.
      6. Any group requesting money from the Activities Committee must present their request at a regular meeting. The committee has the option to take two weeks to consider the request and present their approval or denial at the next regular meeting.
    8. Elections:
      1. At the last meeting in February, the President or Co-Presidents will appoint a Nominating Committee of three (3) members who have agreed to serve.
      2. The Nominating Committee will present a slate of nominees to the membership at the first meeting in March. Nominations will also be accepted from the floor. Those nominated will have agreed to serve if elected.
      3. No more than two (2) positions will be up for election each year. Elections for the office of President or Co-Presidents and Secretary being one year and the office of Vice President and Treasurer will be the following year to avoid the situation of electing a total Executive Board at one election.
      4. Elections will be by written ballot from the Activities' Committee members at the second meeting in March.
      5. The President or Co-Presidents will appoint a three (3) person committee from the membership to oversee the election and report the results.
      6. Election results shall be counted and declared before the meeting is adjourned and posted in the meeting minutes.
      7. Newly elected officers will assume their duties at the first Activities Committee Meeting in November.

G. Voting:

  1. One representative from each activity in attendance, the Vice President, the Board Assistant, and the Executive Board members (the President or Co-Presidents do not vote unless there is a tie) will be used for all votes.
  2. Voting may consist of a written vote or roll-call vote that may be at the discretion of the Executive Board.
  1. Use of the Paradise Bay Rec Hall Kitchen

1.   The use of kitchen and equipment is restricted to only those authorized by the Activities Committee.  The above-authorized personnel must document any equipment removed or loaned.

  1. Amendments:
  2. The rules may be amended or changed by a two-thirds (2/3) vote of the majority of the Activities Committee members present at a regular meeting.
  3. Any amendment or change must be presented at least one meeting prior to the vote.
