Meeting was called to Order at 10:00 a.m.

Prayer was shared
Present: Jim G., Carl K., Donna M., Karen R., Lee S., Debbie F., +16 Committee members

Co-Presidents’ Report:
Carl K. Bocce Under the Stars, and Hot Dog sales Monday evening as planned
Music By the Pool, Thursday, 2/27/25, Tom Gaetz will be playing
Super Bowl monies deposited: $200.00
Soul R Coaster checklist power – 4 outlets available, for Bayfest event. *There is one pool light on, that needs to be attended to.
Jim G. A reminder regarding events in the park and hall(s). The necessity to understand and follow the proper protocol when having an event;
- The Paradise Bay Activities Board wants every club to understand that if you are having an event and you are collecting monies, you need to fill out the proper form in the Paradise Bay Park office.
- All monies collected need to be handled through the Park Office with the Manager, Kathy Zeidemia, a proper account has been established for all activities.
- Requests for monies will be handled through the Paradise Bay Activities Committee, and once approved, the Park Manager fills the request
- Emphasis was on making sure everyone understood, that if you do not follow this protocol, and monies “disappeared” for example; accidental issues happen; etc. then the Park will not be responsible for it. Due to insurance policy.
Questions were brought up by Kathy O. regarding SaraBay and the above information. A follow up if necessary was advised to meet with Kathy Z. and she can explain the policy etc. appropriately.
Jim G. also covered his trip to Hawaii (I am sure it was well needed!) The whale watching, the Volcano National Park, and a volcano erupted, then a Manta trip.
Secretary’s Report: Debbie F. said the minutes of the last meeting were previously emailed and copies passed out. Are there any additions or corrections, if not the Minutes will stand as posted.
The minutes will stand as correct and as posted; a motion was made, and accepted by Kathy and Donna and the “ayes” accepted.

Treasurer’s Report cont.:
Question asked- when Bingo starts up again, will they re-coup that money. (Carl) Bingo still has $1000.00 in the Bingo account in the office for future plans. (Jim) Waiting on insurance company’s report for the losses due to Hurricane to cover equipment etc.
This report will stand as read and posted.
Vice President report: Lee S. Calendar today is ready, copies available. Calendar events continue to change throughout the month, meaning the calendar continues to change too.
Old Business:
Sue C. Library, checking on library updates. Carl and Jim covered the process, that possibly work can be finished by another contractor, or volunteers due to: the Helm house was not insured, so it is not under the contractor’s project. Thanks to Donna M. she was able to fill us in the situation by talking to Chuck M. Also, materials and a timing issue finding a contractor available if we have to do that and “out-of-pocket expenses. “
Donna M. is clearing the Share A Craft room with help, books can be stored in there while the other section of building is being finished. (Between Jim G, Carl K. George M. conversation continued regarding the Wood shop helping and moving forward as it is to get this building finished).
New Business: Carl K. Elections for Paradise Bay Activities Committee is coming up and there is a need for a Nominating Committee to find volunteers interested in filling the position needed:
- Treasurer
- (1) Vice-president nominee has been selected (Lee Stephens)
Nominating committee volunteers are: Donna M, Barbara G., Lennie R., Chris M.
With this information Carl K. also said, even though he is now part of the Executive Board of Directors, he would like to stay on as a volunteer, available as needed with Paradise Bay Activities Committee. Anne O. said that would be ok.
Resolving the issue and following the committee rules; Karen R. read off the proper procedure for nominating selections,
- last meeting in February the president or co-president select a nominating committee (3) that will look for candidate(s) throughout the park.
- 1st meeting in March the nominating committee presents selections for election
- Nominations can be accepted from the floor.
- Vice President position had already been discussed and Lee S. was a nominated candidate; she has accepted the position.
- election and number of candidate (2) positions per year allowed to be filled.
- Last meeting in March, election decision for Treasurer will be made.
Some more information was added to this...
Karen R. asked that we pay Anita Cook, Historical Committee for the processing of old photos etc. to a flash drive for numerous 1990-2005 past years…Amount needed to reimburse is: $917.73
A motion was called to approve- Donna M. and Mary F. approved the motion and all were in favor. (Discussion on Executive and SaraBay Boards to share the costs will be considered, but presently we needed to have Anita C. reimbursed and PBAC will handle it.) Flash drives will be available to sign out for residents to view. Discussion included other ways of saving those flash drives, as they may become damaged, or lost. Possible choices were: iCloud, website, other secure ways of storing.
Carl K. and Kathy O. Carl asked Kathy is Sarabay willing to share in the costs etc. Karen R. informed Kathy that there was a lot of Sarabay members and activities on the flash drives from that period. TBD

George R. “Dance Committee” informed us of startup information for dances 2026-2027…They will not be selling advanced season tickets for the 2026-2027. They are currently selecting the Bands for next year. Each dance’s tickets will be sold individually, to individuals. Once Paradise Bay Hall is available, seasoned tickets for each dance TBD.
Peggy B. questioned the issue of attending the functions, but being displaced temporarily, and the reason why a seasoned ticket holder cannot bring someone in?

Art Club: Bunni C. Covered several of their events

Bunni asked for financial reimbursement March 23, 2025 for Art Show, refreshments etc. A motion was placed to give the Art group $100. Motion was approved
Bayfest Event: Discussions covered – Carl, Jim, and all attending committee members…. Includes Games, Luncheon, Parade, Cooks and Servers, Talent Show, Golf Cart Rodeo, Prizes/Winners for Raffles, Auctions and Cash awards and dance that night.
Bayside Flowers: Kathy S. - update on Geraniums and work throughout the park where they are displayed, the volunteer schedule for watering and a few missing scheduled times needed.
“The Mermaid Painting” created by Kathy S. is being raffled at the Bayfest Event, an email blast plus information in the newsletter regarding the chance to win this donated piece of artwork. Monies raised will be donated to the wood shop.
Boating & Fishing: George M. reminded us of the 10 a.m. meeting
- Fish Fry, March 21, 2025 10-2 p.m.
- $500 donation to the Paradise Bay Committee,
- $300 donation to the SaraBay Committee
- New Treasurer – Jim Bowling
They have met with Kathy Z. regarding switching their bank account over, under the Park office, for the club in the next couple weeks.
Dances: George & Marjorie R.- Everything was reviewed regarding the upcoming Soul R Coaster Dance, Bayfest Event. The set-up, 50-50, Food Trucks and parking situations...
Ladies Friendship Club: Kathy M. Upcoming events
- March 8, 2025 Parkwide Sales Pot Luck at 1 p.m.
- Craft Show March 8, 2025 SaraBay Activities
- Same day: Coffee and Doughnuts 7:30 a.m. start selling by Ladies Friendship Club
- Same day; Starting at 9:00 a.m. Ladies Friendship Club will be serving the “ever famous hot dogs”
- March 12, 2025 Speaker will be Sheri Sekefetz ~ Motivates, Habits and Lifestyles, Ladies Friendship Club Meeting
Library: Sue Cassidy Library information - Anita Cook has all the books catalogued at her house and are ready to be moved. There are over 300-400 books at this time. Discussion to consider the storage space at the building behind the laundry mat. (If they put everything in tubs possibly.)
Sara bay Co-captain: Kathy Ormiston
- Attend Mulligan Stew by ingredient, you will receive a ticket; not by reservation or other forms of ticket reservation. The sign up will be posted in Sara Bay Hall, and you need to be signed up by March 13, 2025

Carl K asked Kathy O. (this is a continued conversation pertaining to the events, monies, accounts and insurance through the park and management), whether they have an account and the effects of not handling it through The Park Office. Kathy O. mentioned a Marilyn Rothman, SaraBay Activities Treasurer, she handles their account. If you use the Park Office, then they use an “E – I Account”, rather than using a personal account under Marilyn Rothman.
Boating and Fishing Club realized this and are in the process of changing theirs over. Wood shop is not covered and does not participate… At this time, it was decided that they need to contact Kathy Z., meet with Insurance rep, to go over policy.
Share A Craft: Possible representative to run it - “Anne Sullivan” Bunni C. knows her, and will be talking with Ann too, if she would be willing in the opportunity this 2025-2026 season.
Shuffleboard Courts: Chris M. – Chris let us know Shuffleboard is going well, lights were discussed…Rebuilt the western wall, and the courts now light up like a “Ball Park” and they are ready!!!
Talent Show: Debbie F. Information shared that we have 11 acts, starting at 11:30-1:30 p.m. on March 1, 2025. I asked Lee S. as a last minute could I schedule a practice rehearsal Friday, February 28th from 2-4 p.m.
Carl K. Co-President’s Position: Carl talked about being elected to the Executive Board of Directors, how his position with the Paradise Bay Activities Committee will be affected. He suggested someone else taking his position PBAC as Co-President, making it manageable (Chris M). And he would still like to stay on in attendance. He also checked with Anne O, whether he can stay on with both Boards, and was told yes. TBD (a Co-President)
