Bayfest 2025 Organizational Meeting

Present:  Carl K, Jim G., Karen R., Lee S., Donna M., Debbie F., George M., The Rogalski’s, Lennie R., Chris M., Wayne, Mary F., Flo C., Barbara G., Rosie I., The Baers (signatures I have listed)

Meeting Called to Order: Meeting started following Activities meeting, a little after 11:15 a.m. 2/24/25

Bayfest will be on Saturday, March 1, 2025

Discussions covered:

  1. Candy for games, but not supplying candy to all parade attendants this year, each group on their own.
  2. Designated areas for golf carts, vehicles and area for residents…
  3. Path for the parade and line up
  4. Set-up and schedule for hall discussed
  5. Golf Cart Rodeo checked and discussed (schedule, team etc)
  6. Stage set up and sound for Talent Show
  7. Sales of food tickets, and food available, set up outside, numerous vendor baskets and auction items
  8. Team covered plans for color type tickets for Raffles etc.
  9. Parade will include motorcycles, bikes and old cars, numerous floats this year
  10. Rodeo and designated area for the show…

 

Theme:  Circus

Parade Committee (9:00 a.m.): Jim G. & Wayne H.-Everyone who wants to participate with their car, golf cart or bicycle should meet at the Sarasota Bay Rec Hall between 8:00-9:00 a.m.  They will be lined up.  There will be prizes for the best decorations at the end of the parade.  The time and place to announce the winners and distribute their prizes should be determined by the Parade Committee and publicized (on signs, newsletter, announcements, etc.)

Candy:  No to passing out during Parade.  Carl K. and Exec. Board agree that this year everyone will handle their own distribution of candy.

Games Committee (11 a.m.-2 p.m.): George M.  The Game tickets are 4 for $1.00.  Winners will receive a different color ticket.  They can put their name on that ticket and put it in one of the several containers next to a bigger prize making them eligible to win that prize.  The time and place to draw the winning tickets should be determined by the Game Committee.  The time and place of the drawing should be publicized (on signs, newsletter, announcements, etc.)  Most games will be in the Pickleball Courts and area.

Luncheon Committee (Luncheon 11 a.m.-2 p.m.): Carl K., Tom B.- It is helpful to sell tickets before the day of Bayfest to determine the amount of food, etc. to buy. Volunteers have taken tickets and are selling in their areas. Tickets are also being sold during Coffee Hours and will be sold at the door the day of event.  They will be $7.00 each.  The Luncheon consists of a choice of Hamburgers, Hot Dogs and Pulled pork sandwiches, chips, pop, water and a float.  The (Pickleball Club) will serve again this year in the Sara Bay Hall.

Golf Cart Rodeo Committee (3 p.m.):  Jim G. & Wayne H.-It is not necessary to sign up in advance; just show up.  There will be prizes for the top four winners.  The winners of the Raffles and Cash Awards will be announced at the Rodeo.

Talent Show (within 11:30 am-1:30 pm) Debbie Freeman and Anne Sullivan with Ron Prieskorn and (Mike) will assist with the Talent show performances, stage area. Performers include dancers, vocalist, musicians, comedy skits, duet singers and more. Anyone in Paradise Bay and Sarasota Bay are invited to perform.  We have 11 acts at present, starting at 11:30-1:30 p.m.  Wayne H. donated a large amount of prize winner ribbons to use as a token for performers. I asked Lee S. as a last minute could I have a practice rehearsal Friday, February 28th from 2-4 p.m. That has been confirmed and I will notify everyone personally to be there for line up etc.

Dance (6-9 p.m.): Margie and George R.- Everything was reviewed regarding the upcoming Soul R Coaster Dance, Bayfest Event.

  1. Designated area at Pool lot for everyone, no golf carts or vehicles
  2. Bathrooms through pool area accessible
  3. 50/50 Ticket raffle
  4. Two food trucks booked, set up on WPT Street
  5. Lighting checked etc.

Food Trucks (4:30-7:30 p.m.): Lee S. has 2 Food Trucks available and will be set up by the Pool lot, on EPT Street.

Grand Prize Raffle Committee:  Barbara G., Jim G. & Carl K. -There will be baskets full of many different prizes donated from local businesses such as gift certificates/cards, bottles of adult beverages, etc. that are going to be raffled off.  Different color tickets will cost $1.00 for one ticket, $2.00 for three tickets or $5.00 for ten tickets.  You may put your tickets in a designated container next to the basket(s) you would like to win.  Auction items will be listed separately, and a start bid listed for anyone to place a bid on. Wood shop and the Painting by Kathy S. will be on display to purchase tickets or item as well. A list of all the businesses that donated prizes will be displayed and, also, put in the newsletter.  Also, thank you cards will be sent to the businesses.  The tickets should be drawn at 2:00 P.M. after the Luncheon.  The time and place of the drawing should be publicized newsletter, announcements, etc,

Cash Awards Committee: -There will be (3) winners and will divide the proceeds; the other half will go to the Paradise Bay Activities Committee. Different color tickets - cost $1.00 for one ticket, $2.00 for three tickets or $5.00 for ten tickets.  The time and place of drawing the winning

Bayfest tickets will be after the Golf Cart Rodeo on that particular field, and will be announced at that time.  It will also be announced/posted on TeamReach and the Paradise Bay website, newsletter, announcements, etc.)

Signs: Bunni and Art Dept. - Carl is ordering a sign too for the Bayfest event… Make the signs to publicize all the events/activities/drawings, etc. with times and places.

Meeting was called by Jim G. to adjourn and a motion was made and accepted.
