Secretary’s Report: Debbie Freeman reported the minutes of the last meeting were posted and previously emailed, and passed out at today’s meeting. There were no additions or corrections so the minutes, Carl asked if there were any changes or corrections, and there were none. Minutes will stand as posted.
The secretary’s report for today:

- Karen Rimatzki Treasurer away, report handled by Shana Simison
- Lisa Diltz, Dance is out of town, no report
- Marilyn Morrisey, Art and Bayfest will not be available this year to participate

Treasurer’s Report: Shana Simison stepping in for Karen Rimatzki reported as of the last coffee hour the expenses and the present financial balance of $8,210.40. Discussion followed with who needed money for their club or organization by Carl K.
- Bunnie C.-Art: Art supplies needed - $100 Motion approved by Jim G., Carl K., and Donna M.
- Jean C.-Water Aerobics needs money for the Hand weights and noodles in the amount of $300.00, pool committee told her to contact Activities Committee. Shana motioned to approve, Lee 2nd it and motion was approved
- Kathy S. Bayfront-Flowers: Reported on work of posts, pots, and geranium status. She has receipts for $160 for the pots etc. But still has to get the plants and dirt, with that the total will be within $400.00. Kathy M. motioned to approve and a 2nd motion to approve was heard. And approved by board.
- Mary F. – Goldtimers PB: has been conferring with Pam in SB, who is handling and getting ready to have an event for the Goldtimers for SB. They discussed combining both areas, if occupancy stayed within the appropriate limits. But Mary would like to share in the cost of the supplies, decorations etc. if this is to happen. Carl K. mentioned that they had already discussed this with those in charge at SB, that we would share expenses especially on events that they do together. Amount TBD shortly...
Co-Presidents’ Report:
Jim G. – said “We are moving-pushing on!” Music by the Bay is the 14th of February. He needs someone to handle it, as he will be away.
- Golf League: Busy…please show up on time, tee times are full and he is working on more time…
- Gym Opening: Requests to open the gym at 6 am. Rather than 7 am by pool committee and members. I believe it has been approved, but the locks need to be updated to that time.
Carl K. – Hot Dog Monday – they estimated serving 175 orders but, in the end, they served over 210 (information supplied by Tom Billings)
- Thanks to the Fish and Boat Club for donating supplies, buns, hot dogs left over from their function the weekend before.
- Bayfest Meeting right after this one, same hall, for all team leaders and those that want to help.
- Pickleball Court, Volunteers and Caroline M: Carl thanked Caroline for the use of the courts, the volunteers and her assistance in the upcoming year plans for the Bayfest event.
- Tee-shirts: Carl K. said there are still some tee shirts available and to contact him and Rosie…Jean C. was missing her order, but it is part of the cancelled 2nd order that did not go through, because the minimum amount was not met and they would have cost over $40++ for a tee-shirt.

Vice President’s Report: Shana S. explained Karen is on a week cruise and she is handling all monies. If you have receipts and have turned them in, she will see to it that you are reimbursed.
Vice President Assistant: Lee S. thanked everyone for their patience, regarding the calendar, events and schedule changes.
- She also thanked everyone for their part in their events, of cleaning up, setting up and miscellaneous other projects they are handling together; which means not having to involve the maintenance.
- Lee has started scheduling for next season and early 2026; not sure whether there will be 1 or 2 halls by then plus the Helm House. But, either way, scheduling has started and can be readjusted.
- Dance and Entertainment (PB) is already scheduled for next season.
- Newsletter: Gets calendar schedule, but things can change on a daily basis. Best resources are the online calendar, it will be kept up to date regularly.
- Carl K. construction has started, please realize that this will affect everyone and the calendar too. Be willing to move forward with the changes, and realize that there are possibilities of cancellations to your program or event. We have only two buildings to work with!
Activities Board Assistant: Donna M. With the discussion of construction going on throughout the park, please be aware there is always a need for volunteers and help. (For example: Library and Trash to Treasure building) If you see something going on, or someone working on their place etc. maybe ask do they need a hand? Watch for email blasts and messages too, or inquire…
Old Business:
Carl K.:
- (2) new carts for the library are ready to be put together and do we have volunteers? Ricky Baer and George Mullen
- Construction plans are under way at the Helm House for floors, walls, shelves and to have an entry door at the back by the kitchen allowing access into the new library area. This will help with no interference in other areas of the building, should they be having a meeting etc. or something going on.
- Open House Thank you: Carl K. There were great responses to the Open house and turn out. Combining both park groups was a great idea. Kathy O. inquired about future Open House plans. Debbie F. and Carl K. responded with information discussed at our Executive Board Meeting; the topic was discussed. Coordinating both parks for various events would be great but there needs to be a committee put together combined of both groups that will formulate a mutual agreeable plan that includes teamwork shared from both parties. Rotating PB/SB in the future when the other hall is completed, especially the Welcome Open House event, to start. TBD in the future
New Business:
Carl K:
- Sue Cassidy is the new librarian for Paradise Bay Helm House Library and will handle the books and shelving set up with a number of volunteers to help her.
- Elections are coming up soon for Paradise Bay Activities Board Committee
- Marilyn M. was on the Nominating Committee, we will need 2 people to solicit people to run for Activity Board positions.
- Karen R. has volunteered to fill in for Shana in the Treasurers position, temporarily, until election time too.
- Vice President’s position is opening then too. This was questioned by Lee S. asking weren’t they going to combine the Vice president position with the calendar person position...
Carl K. said that is a question that needs to be approached regarding the Bylaws.
Jim G and Carl K. stated it is an appointed position, so both of them agree that it needs to be changed regarding the By-laws. So, this stands as TBD.

Activities Posted
Art: Bunni C. updated us on the progress and supplies needed for the Art group, and the future trips the group will be making this season.
- Coffee Canvas event: February 6th 9-12 ~ no experience needed “Everyone needs to sign up and need to call Bunni C.”
- February 17, excursion to museum and a couple other excursions were discussed…Ringling, Village of the Arts etc.
Bayfest-Circus Theme: Carl K. covered a discussion on the Bayfest event, and some of the issues that will need to be addressed. A positive response he has is with Caroline and the Pickle Ball club, as far as being allowed to use the court for set up for games, with proper stipulations and rules. and the Pickle Ball club are volunteering to handle the serving of the carry out meals that day too.
The Golf Cart Rodeo was discussed a little too, and other parts of the event. Further information will be shared after our Bayfest meeting following this meeting on January 27, in the Helm House with Team Leaders.
Bayfront Flowers: Kathy S. as discussed above, she is moving forward, geraniums are next to be purchased and then she will be looking for volunteers to help her put the pots together and get a little dirt under their nails soon!
Blood Mobile and Health Fair: Susan M. is looking at the same issues for their set up at both these events on the same day (after listening to Dee and concerns for vendors and vehicle blockage)
- February 20, 2025-She will need access and set up combination for the Blood mobile and the Health Fair. Hoping both can be near each other. Alleviating the issue of people attending and not having to be concerned about how to get from one source to the other.
- Parking the Blood Mobile, bathroom access
- Vendor parking for the Health Fair and vendors
- Different areas throughout the park were discussed, a final decision has not been determined TBD shortly!
- The Blood Mobile mentioned we are one of their biggest contributors for the past 3 years; the Health Fair is huge and count on being at Paradise Bay yearly, and we need to find a way to make sure we lose neither of these organizations.
- Fire department wants to participate too.
Boating and Fishing: George Mullin – Chili luncheon February 4th, meeting then luncheon, free to all members, anyone can join…only $10 for membership.
Coffee Hours-Activities Meetings: Coffee hour every Monday except the 5th Monday of the month at 9 a.m. and will rotate hosting by Paradise Bay Activities groups and Sarasota Bay Activities groups.4
Craft Shows: Dee Majewski is ready for the Craft show this weekend.
- Signs are up that she made and waiting on the ordered Banners to be set up. Cathy M. is adding the Friendship Ladies bake sale signs too, they will be on display in various areas.
- Discussion on parking, vendors setup, shuttle service, golf cart usage, tables, tents for vendors, table set up outside for eating were all discussed and somewhat sorted out...
- Suggestion to use the PB/SB Park Office golf carts for shuttle service is being looked into.
- Vendor set up, lock down of building etc. discussed
Decorations and Fabrics: Debbie F. as some of you are aware, there are two large tubs full of very colorful brand-new fabrics that I feel can be used for events and entertaining stored in the Billiards room at Helm House at the moment. I have donated this to Paradise Bay Activities Committee for Paradise Bay and SaraBay organizations to use for events. All we ask:
- Is that you share it respectfully, use it, and if it is still recyclable, return it clean.
- Preferably not to be used on food tables unless covered with plastic
- Fabrics come in a minimum of 8-foot lengths and can be up to over 100 yards in numerous colors. Borrow the fabric close to your event date, so that other groups can also be allowed to access
the fabric in between. It is understood too, you may have a project that means permanent use, no return, that is fine too.

- Please contact myself or someone on the Board, to let us know what you are signing out and how much of what color you took.
- Please leave the tubs in a reasonably tidy order, I know it will be hard to get at some of it. Originally, I had three tubs of fabric, till one floated away!
History: Brenda O. Is still asking for any articles and pictures to add to our history of the part. She is also particularly interested at this time of getting any stories from anyone and everyone on how the Hurricanes of 2024 effected their lives and if you have pictures too. Brenda has mentioned there is a questionnaire form pinned on the bulletin board at the Sara Bay Hall Building that is helpful on how to write up your information.
Hot Dog Monday & Super Bowl: Carl K. and Tom Billings Superbowl squares will be sold at Hot Dog Monday between 4:30 and 6 p.m. Get your square, Lennie has that set up. Lee is still mentioning the Super Bowl party to be held at the Helm House this year again, give it another chance! A suggestion has been made to have it at the Sara Bay Hall, a suggestion that the Church service may be moved up from 6 p.m. to 4 p.m. if needed. Lee would talk with the Pastor regarding this too. Tom Billings mentioned “subs?”
Ladies Friendship Group: Kathy Mullin
- Craft Show, Luncheon, Bake Sale-February 1st, starts at 8:30 a.m. Doughnuts and coffee in the morning, lunch, craft show, baskets and donations needed and a bake sale drop off discussed.
- Carry out luncheon plans, tables, and signs were discussed
- Cathy M. needs a few volunteers still: 1 morning shift, 2 noon shift and 1-2 for cleanup.
- Valentine’s Day Flowers: we need volunteers for assembling vases and delivery of flowers. 90+ list from Trudy, waiting on the list…Use of the Helm house was brought up and agreed as a good place to work on this project. (9 a.m. 2/14/2025)
- Sup-R-Bowl-End Hunger: Containers to be assembled, advertising on TeamReach and email blast at Helm House
- 37 new residents past year: Peggy B. puts together Welcome Bags and is waiting on mugs she ordered and a list of the new residents from Trudy in the main office, so they can start distribution. They are also going to ask the Office to maybe hand them out again for them.
Pickle Ball and Kayak: Caroline M. Pickle ball party Wednesday, record numbers attendance 4-6 p.m. Kayak trip going out February 4th, Robinson Park… 9:30 a.m. with a guide
Discussion was covered regarding the trailer purchased last year, and did it survive? Question for kayaks, launching spot in PB park? Future discussion of a Kayak Launch and where do we stand with that? It is on hold, number of reasons, including legality etc. and 6th street etc.
Talent Show: Debbie F. went over the new addition to the Bayfest this year. March 1st, 2025, 11 a.m.- 1:30 p.m.
- Rather than just Irish dance group entertain during the luncheon, we are coordinating a Talent Show.
- This will be open to all residents and renters in Paradise Bay and SaraBay this year!
- We are inviting musicians, vocalists, dancers, comedians, story-tellers, jokesters, magicians (after all it is a CIRCUS THEME) all gifted talents desired
- Information will be in the newsletter, Jim G. with an email blast, flyer and committee sharing… We can discuss this at the Bayfest meeting January 27th, at 11:00 a.m. at the Helm House.
- A rehearsal will be planned, up to 10 minutes of show time for anyone or group
- Sign up form is going to be posted in SB, Helm House, Office and through contact with Debbie Freeman, 810-441-5343
Water Aerobics: Jean C. Regarding the temperature, the pool will be open at 65 degrees, possibly 62 degrees. But they may cover it in the evening at 65 degrees. Especially for January.
